KA Coaching Ltd – Terms & Conditions
By booking a class with KA Coaching Ltd, you agree to the following terms and conditions. These are in place to ensure the safety, wellbeing, and enjoyment of all children and families.
1. Payments & Bookings
- Bookings are not confirmed until payment has been received.
- Paid spaces will be given priority.
- If a class is cancelled due to minimum numbers not being met, you will be offered either a refund or a credit towards another class (subject to availability).
- Refunds are not given for sessions missed due to your own circumstances regardless of the reason
2. Refunds & Make-Up Sessions
- If a session is cancelled due to staff illness or unforeseen circumstances, KA Coaching Ltd will offer either a make-up session or a refund.
- Codes issued as refunds or discounts will have an expiry date. They will not be reissued or reimbursed if they are not used before the expiry date. Exclusions may apply, for example, to year 6 pupils during the last term who would no longer be eligible to attend an after school club.
3. Health & Safety
- All medical conditions must be declared during registration, and parents/guardians must notify us promptly if these change (via email or phone).
- Children must not attend if they have had any form of illness within 48 hours of the class.
- In the event of an accident or emergency, staff may administer first aid and, if required, contact emergency services. Parents/guardians will be informed immediately.
- KA Coaching Ltd and its staff are not responsible for any loss, injury, or damage that occurs during the class.
4. Behaviour Policy
- KA Coaching Ltd operates a 3-strike behaviour system.
- Any child receiving 3 strikes will be sent home from the session.
- Parents/guardians agree to collect their child promptly (within 30 minutes) if this occurs.
- KA Coaching Ltd reserves the right to remove any participant from the programme, without refund, for bullying, misbehaviour, or disruptive conduct.
5. Photography & Media
- You must let us know if you do not want your child to be photographed for marketing purposes.
- It is your responsibility to update us if your preference changes.
6. Emergency Contact & Collection
- Parents/guardians must provide an up-to-date emergency contact number.
- Children must be collected promptly at the end of each session. (Late collection fees may apply if this becomes a recurring issue.)
- Responsibility for your child remains with you before the session starts and after it finishes.
7. Personal Belongings
- Please avoid bringing valuables to class. KA Coaching Ltd accepts no responsibility for lost or damaged belongings.
8. Weather & Venue Changes
- For outdoor sessions, classes may be rescheduled, moved indoors, or cancelled due to severe weather.
- Parents/guardians will be notified as early as possible.
9. Age & Participation
- Children must be booked into the age-appropriate class.
- Coaches may adapt activities to suit ability levels for safety reasons.
10. Communication
- By registering, you agree to receive class updates via the contact details provided (email/phone).
- It is your responsibility to ensure your contact details are accurate and kept up to date.
